What it covers

Three layers, one source of truth.

Most tools cover one layer well. AI Landlord stitches the money, the operations, and the compliance into one ledger — so the same event ripples cleanly into every report.

Money

Rent collection, vendor bills, NNN reconciliation, CapEx depreciation, intercompany transfers, P&L per entity. Every dollar tagged to a property, a tenant, and a tax line.

Operations

Work orders, inspections, calendar, tasks, tenant communications, document vault. The day-to-day machine for actually running buildings.

Compliance

LLC-level P&L, K-1 partner allocations, depreciation schedules, full audit log on every action. Tax season is a click, not a fire drill.

Everything in one app

38 workflows, zero context-switching.

Built operationally — not as a feature list. Every workflow links back to the same underlying ledger of properties, units, leases, and entities.

Money & Accounting
Stripe Connect rent collection
Tenants pay by card or ACH; webhook auto-reconciles to the invoice. Payouts land in your operating account, fees logged as expenses.
Invoicing & A/R aging
Monthly rent + NNN + adjustments. Current / 30 / 60 / 90+ buckets with one-click email or physical-mail dunning via Lob.
NNN reconciliation
Per-bucket actuals vs estimates over any period. True-ups generate invoice or credit adjustments automatically.
Vendor bill workflow
Pending → approved → paid. Approval gates spend; marking paid creates the backing expense and links them — single source of truth.
Budget vs actual
Annual budgets per property × category, with YTD variance and % used. Forecast against trailing-12 if you don't have a number yet.
Intercompany transfers
Distributions, contributions, intercompany management fees, loans. Tracks money moving between entities so K-1 prep nets out cleanly.
CapEx & depreciation
Mark expenses as capital improvements; pick method (straight-line / MACRS 27.5 / 39 / Section 179 / bonus). Auto year-by-year schedule.
Mortgages
Loan tracking with principal/interest split per payment, balance auto-decremented from mortgage-tagged expenses.
Property taxes
Period-by-period bills with paid/due tracking. Tax-category expenses auto-link to open periods so nothing slips.
Operations
Maintenance & work orders
Reported → in progress → resolved. Estimated vs actual cost, photo attachments, vendor assignment, completion notes.
Move-in / move-out inspections
Tied to leases. Photos, condition notes, signed report. Drives security-deposit settlement cleanly.
Calendar across everything
Lease expirations, tax due dates, insurance renewals, mortgage maturities, tasks, open maintenance — one feed.
Tasks / to-dos
Assignee, priority, due date. Attach to a property, tenant, lease, or vendor — context survives the conversation.
Vendor directory
W-9 tracking, COI expiration alerts, 1099 eligibility, default category for fast expense entry.
Tenant directory & portal
Per-tenant page with lease, payment history, balance, communications log. Tenant portal for paying rent and submitting maintenance.
Reporting & Compliance
LLC P&L per entity
Cash-basis statement by property and rollup to the entity. Pick any month and print — the format matches what your CPA expects.
K-1 partner allocations
Add partners with ownership % per entity; K-1 share of net distribution computes automatically. Warns when totals don't sum to 100%.
Portfolio value + LTV
Sum of latest valuations, total mortgage balance, unrealized gain vs basis. Dashboard tile updates on every new valuation.
Full audit log
Every create / update / delete logged with who, what, when, and a one-line summary. Filterable by entity type or actor.
Document vault
Vercel Blob–backed storage for leases, W-9s, COIs, inspection reports, tax docs. Expiration tracking surfaces what's stale.
Notifications inbox
In-app inbox for renewals, overdue balances, missing documents. Bell in the header with unread count — nothing buried in email.
AI & Automations
Ask LandlordAI
Org-aware Q&A over your portfolio. "Which leases roll in Q3?" "What did we spend on roofing last year?" Cited answers, never made up.
Receipt extraction
Snap a receipt, AI extracts vendor, amount, date, line items. One-click create the expense — no manual entry.
Auto-categorization
Mortgage payments auto-decrement the loan balance. Tax-category expenses auto-link to open periods. The plumbing knows itself.
Infrastructure
Multi-org, multi-entity
One login, multiple organizations. One organization, multiple LLCs. Books are scoped at the entity layer so partners only see what's theirs.
Role-based access
Admin / member / viewer per organization. Tenant portal users are scoped to their own lease only.
Lob physical mail
Invoices and notices print + ship via Lob — certified-mail eligible. Delivery confirmations land back in the document vault.
Twilio SMS
Outbound tenant messages with full delivery log. Optional auto-reminders for rent due, lease renewal windows.
One operating system

Every building, every entity, every dollar — in one place.

Commercial, NNN, and residential under one roof. From rent collection to K-1 prep, AI Landlord runs the whole portfolio the way a fund manager would.

How onboarding works

From request to first rent in days, not months.

Invitation-only. We provision your organization, import the existing data, and switch the lights on.

Submit a request

Tell us who you are and what your portfolio looks like. We review every request — usually within a couple of business days.

We provision your org

We stand up your organization, set up entities, and import properties, units, leases, and tenants from whatever you have today.

Connect Stripe, go live

Standard Stripe Connect onboarding. Rent collection starts on the next billing cycle; old invoices flow in alongside.

Why this exists

We built it for our own portfolio because nothing on the market handled the way we actually run buildings.

We own and operate a multi-entity real estate portfolio. Every off-the- shelf PM tool we evaluated assumed a single LLC, a single bookkeeper, no intercompany flow, and no real K-1 prep. So we built our own — the way a CFO would design it, with the operational depth a property manager actually needs. AI Landlord is that same software, now offered to a small number of operators we know.
